A useful handover connects the agreed scope with the work actually carried out. Ask for identifiable work boundaries, recorded changes, relevant material information and photographs of important junctions, without treating photographs as a substitute for assessment.

How can the record be connected to the original instruction?

Start with the selected quotation and its clarifications. The final record should make it possible to identify which roof areas from that instruction were completed. Use the same names or numbers for work areas as in the preparation, so an owner can later tell whether a rear-roof photograph belongs to this instruction or an earlier intervention.

Record changes separately. Where a component was executed differently because of an encountered condition, place that finding alongside the chosen modification. This differs from merely recording the final material name afterwards. The connection between observation, decision and execution makes the dossier useful for future maintenance or investigation of another reported problem.

Which photographs remain useful later?

Ask for images containing enough surroundings to identify the roof area, supplemented by details of relevant junctions. A final overview does not automatically reveal what is concealed beneath a finish. If intermediate records are needed, agree on them beforehand rather than waiting until every layer has been closed.

Photographs need brief explanations identifying their location and subject. Avoid a large folder without names or sequence. The dossier does not need to become an attractive portfolio; it needs to make information retrievable. A small set of clearly labelled images can therefore be more useful than dozens of almost identical photographs with no connection to the proposal or the findings that prompted it.

Which documents should accompany the images?

Keep the instruction, agreed changes and relevant product or maintenance information together. Make clear which installed components each document actually concerns. A general brochure covering several systems does not prove that every component described is present on your roof.

Ask which considerations apply to future use and who needs the dossier information when another complaint is reported. This article establishes neither warranty conditions nor a universal maintenance period. Those arrangements should be identifiable in the actual agreement and accompanying information. Distinguish a technical use instruction from a commercial agreement and from an unresolved investigation question, rather than placing them all under an ambiguous heading such as “aftercare”.

How can handover preserve unresolved points?

Create a separate list of remaining questions and identify who will respond. An open question does not necessarily have the same status as an established defect. Describe what was observed, which response was agreed and when a further decision is required under that agreement.

For shared ownership, authorised contacts should receive the same final dossier. Agree where the current version is kept and how subsequent changes will be added. This keeps information available when a manager or board member changes. The local planner supports preparation, but it does not assess a handover or automatically declare that work has been accepted or completed to an agreed standard.

Frequently asked questions

Do handover photographs prove everything is correct?

No. Images support the record but do not show every concealed layer or technical property. Assessment remains a separate step.

Should I keep brochures for every material?

Retain relevant information clearly connected to components actually used. An unsorted collection of general brochures is less helpful.

Who should keep the dossier for an owners’ association?

Agree on one current storage location and responsible person. Ensure authorised successors can retrieve the information later.
